The Executive Administrative Assistant will support our CFO, CRO and other executives by managing schedules, arranging travel, communicating internally and externally and assisting with project needs and other administrative tasks. The successful candidate will perform these tasks exceptionally while effectively managing critical and confidential information and working collaboratively with Executive Administrative Assistants supporting other C-Level Executives and their departments. The role requires broad and comprehensive experience, skill and knowledge of organizational policies and practices, strength in managing changing priorities and calendars and a pro-active, problem-solving approach. Completes a broad variety of administrative tasks including: managing very active calendars; arranging complex and detailed travel plans, itineraries, and agendas; completing expense reports; composing and preparing correspondence that is sometimes confidential; and compiling documents
Provide "gatekeeper" role, creating winning situations for direct access
Ability to project-manage all related events as needed/required, including all-hands meetings and coordinating across departments
Create high-quality presentations, reports and spreadsheets
Screen telephone calls and visitors, and resolve routine and complex inquiries
Contribute to overall team success by identifying problems and proactively seeking out methods to improve and/or create efficiency of an operation or task
Review and prioritize written communication and route as appropriate
Be an ambassador to Yapstone to internal employees and external customers, partners and candidates
Prepare meeting agendas, take meeting minutes, and prepare action plans; coordinate with team members to ensure meetings are well-planned and successful
Bachelor’s degree or equivalent work experience
Minimum 10 years’ experience with 5 years’ minimum experience in an executive administrative support role
Takes ownership but exhibits flexibility
Prior experience in financial services or technology company strongly preferred
In-depth knowledge and proficiency with Office 365 including Microsoft Outlook, Word and PowerPoint
Strong planning, administrative, and organizational skills, including excellent record-keeping and documentation
Excellent time management skills, ability to multi-task with frequent interruptions
Strong interpersonal and human relations skills and customer service orientation, with superb written and verbal communication skills; represents the Company effectively with applicants, employees, managers, and vendors
Professionalism, confidentiality, and sensitivity to employee and company information
Enjoys working individually and within a team, collaborating on projects when necessary along with a willingness to help others
Experience supporting multiple executives and a multi-site work environment a plus
