Primary Responsibilities

  • Ensure semi-monthly payroll processing is accurately and timely completed.

  • Prepare payroll and related benefits journal entries and be accountable for month-end timeliness.

  • Timesheet tracking analysis; includes follow up with employees and managers for timely entry and approvals.

  • Responsible for payroll and related benefits accounts reconciliations and resolve any unreconciled items appropriately

  • Process and ensure timely payment for final paychecks

  • Process garnishments and tax levies.

  • Perform due diligence on compensation summaries for W2 and other year-end reporting with ADP.

  • Prepare 401k file to include company match and upload 401k contribution file to Plan Administrator.

  • Maintain required reports and compliance materials

  • Provide guidance or training materials for employees’ use of ADP portal and respond to employee payroll inquiries.

  • Maintain employee bonus accruals and record the journal entry and reconcile the account.

  • Administer and reconcile the company’s benefit programs to ensure accurate employee deductions.

  • Generate regular and ad hoc ADP reports as needed.

  • Provide support for company audits such as but not limited to workers compensation, 401k, and year end audits.

  • Assist with month-end close and ad hoc projects as needed.

  • Responsible for employee stock transactions including coordinating with legal and HR, journal entry preparation, updating Certent software with new equity grants, calculating taxes on stock option exercises and restricted stock unit vesting and updating the stock cap table.

  • Act as a backup for international payroll processing

  • Ensure employer of record payroll is processed accurately and timely

  • Other duties as assigned

Requirements

  • Associate degree in relevant field (accounting or finance) or 4 years of professional experience in a similar position

  • Experience in payroll processing with 100 or more employees

  • Full working knowledge of Payroll system reporting in ADP WorkforceNow

  • Proficiency in MS Office, Excel and Outlook

  • Comfortable working in various systems

  • Comfortable working cross functionally

  • Familiarity with Certent equity software and NetSuite ERP a plus

  • Must be accurate, detailed oriented, organized and able to work quickly with a sense of urgency

  • Strong analytical skills, with the proven ability to analyze processes and suggest/implement continuous improvements

  • Flexible and able to quickly adapt to changes resulting from a dynamic and growing business environment.

  • Ability to prioritize duties, meet deadlines, and function as a team member to accomplish job functions

  • Understanding of accounting for and general ledger impact of payroll transactions

  • Excellent verbal and written communication skills. High standard of customer service to contacts both within and outside the company

  • Proficient knowledge and comprehension of US Payroll Rules and Regulations, knowledge of ex-pat payroll considerations a plus

  • Must be able to discreetly handle highly sensitive and confidential information
